How to issue a personal file
In the individual case, as a rule, contains the following employee information: personal record card, copies of educational documents, copy of the order and a statement of employment, employment contract, amendments and supplements thereto, the documents on certification and training, as well as other documents to HR (copy of certificate of marriage, birth of children, passports, military ID, etc.).
Personal business each employee shall be in a separate folder with cardboard cover – folder. It is stamped with the details of: surname, name, patronymic of the employee, the date of the opening of the case. After the dismissal of the employee personal business is closed. Documents are mandatory for submission to the archive.
Closed personal Affairs are numbered, compiled by the internal inventory of documents of the case. The documents in the folder going in chronological order of receipt of the employee before the date of dismissal. In the same order is drawn up internal inventory. The numbering of the sheets of the inventory is separate from the numbering of the documents personal Affairs.
Employee records are only given to the Manager or other persons by order of the head and to the employee. The information stored in the personal file is confidential, and therefore not subject to disclosure to other people. It is prohibited to make changes to previous documents from the personal file, and extract them.
The personnel Department kept things only existing staff. Documents laid-off workers are transferred to the archive. There they are stored for 75 years, and the personal Affairs of leaders, managers and individuals with awards and degrees, in perpetuity.
