How to maintain a database
No wonder they say that the one who owns the information, owns the world. The database is supported by up to date and constantly updated, every year is all the more valuable. So keeping it includes protection against unauthorized access, and regular backups, and the delineation of functions which can make it operators and users who have different levels of tolerance.
Choose these tasks before start to collect and organize information. Define the levels of tolerance together with the Director or the information Department and assign them together with the system administrator. Develop documents regulating the maintenance of databases. They should be written for different user levels: operator, programmer, database administrator.
Consider the structure of information for each abstract object, information about which will be entered intothe base data. Define the fields that will be filled and the type of information that would be in: integers, decimal values, dates, strings, images, etc. Structure should provide the most complete picture of the object and its properties and characteristics.
Write in the operator's manual on the General principles of database management and entry of information for the fields of each type. You should clearly understand that such structured information, provides unlimited possibilities for automated analysis. So write the rules of the database with the selections and queries that will be produced subsequently, in the analysis and processing of information.
Guide operator training, familiarize them with instructions and manuals. They must sign that they have heard and are familiar with the rules of the database. Strictly punish operators that allow systematic errors and incorrect performing input of information, which greatly reduces its value and ability to organize.
